AI BASICS / START HERE

A useful AI setup.
One step at a time.

You do not need to know the jargon or write a perfect prompt. Choose a place for your shop’s work, practice a simple conversation, and then connect Collision CoPilot for collision questions.

NEVER USED AI? YOU CAN START HERE.

You know your shop.
Learn the assistant one step at a time.

You do not need a technical background. An AI assistant is a conversation window: you type what you need, send it, read the response, and ask a follow-up. A “prompt” is simply the question or instructions you give it. Start with a practice task you can check yourself.

  1. Choose one assistant

Our starting recommendation is ChatGPT Business. Claude Team is another good starting choice, especially if your team already uses Claude. You do not need both. These are our recommendations from shop trials, not a promise that either assistant always gets things right.

Open the current plan page and review the required seats and total cost before buying: ChatGPT Business or Claude Team & Enterprise. Claude Team currently requires at least two members, and the account creator needs a business email address. If you are a one-person shop, ask us for help choosing.

  2. Create a workspace owned by the shop

The owner or designated manager should create the business workspace, name it for the shop, review billing, and invite employees under their own logins. A workspace is the shop’s area inside the assistant. Use the shop workspace for shop work, rather than an employee’s personal account.

Follow the provider’s instructions: OpenAI’s workspace and member guide or Anthropic’s Team setup guide. Keep personal conversations separate; you do not need to merge them into the business to get started.

  3. Check the settings before adding shop documents

Confirm the shop workspace is selected. Review who can join, who manages billing, what employees may share, and which apps are allowed to connect. Start with only the apps your shop needs. Business protections still involve provider processing and storage.

Read the provider’s current guidance: OpenAI’s business security guidance, ChatGPT Business sharing and privacy settings, or Claude Team management. For this first exercise, use the fictional notes below. No customer files are needed.

  4. Try one small, harmless task

Open a new conversation in the shop workspace. Copy the practice question below into the message box, then select Send. You can type normally; spelling and perfect wording are not required.

    COPY THIS PRACTICE QUESTION

I am trying AI for the first time. Turn these fictional notes into a three-item checklist: the vehicle arrives Monday; parts arrive Tuesday; the owner reviews the repair plan Wednesday. Keep the days exactly as written. Do not add facts or repair advice.

Then type: “Make that shorter and easier for my team to read.” This is a follow-up. You can ask for a change without starting over.

  5. Check the answer yourself

Did it keep Monday, Tuesday, and Wednesday attached to the right tasks? Did it invent anything? Ask it to correct a mistake and check again. A confident answer still needs review. For real repairs, check the original sources and the exact vehicle requirements before acting.

This exercise teaches the conversation. It does not prove an assistant can make repair decisions or that Collision CoPilot is connected yet.

  6. Now add Collision CoPilot

Once you can send a question and check the answer, choose your CoPilot shop subscription. Your AI provider plan and CoPilot plan are separate. Each CoPilot user needs a named seat, and each person picks one AI assistant.

Then follow the matching guide to connect the tools, add your shop instructions, choose the recommended model, and run the CoPilot connection check: Continue with ChatGPT or continue with Claude. Make sure the conversation shows CoPilot was used before relying on its research.

YOUR ASSISTANT

ChatGPT

The app where you ask questions and work on drafts.

YOUR COLLISION SUPPORT

Collision CoPilot

The connection to collision playbooks and research references.

YOUR SHOP CONTEXT

A project

A place to keep related conversations, files, and shop instructions.

FIRST / CHATGPT

Set up once.
Build confidence as you go.

01

Use your shop’s business workspace

Start with a shop-managed ChatGPT Business workspace approved for your work. If your login has both personal and business workspaces, select the shop workspace before uploading customer documents.

Invite each employee under their own login. Your ChatGPT plan and your Collision CoPilot subscription are separate.

Business data is excluded from model training by default. The provider still processes the information you share. Read OpenAI’s business security guidance ↗

02

Connect Collision CoPilot

Follow our account setup guide to add CoPilot and complete sign-in. When CoPilot asks for an email, use the one attached to your purchase or accepted shop invitation. It can differ from your ChatGPT login.

Open the ChatGPT connection guide

Each person needs their own CoPilot seat, and each person picks one AI assistant. Choose CoPilot in the conversation when you want its research tools used.

03

Give your shop a project

Create a ChatGPT project named “Collision CoPilot for [your shop].” Add the shop instructions from your CoPilot account and fill in the actual shop name, home state, estimating system, and other relevant details.

Use a new conversation for each job or separate question. Projects help organize related context; instructions tell the assistant how to work with that context. OpenAI’s project guide ↗

Where does the CoPilot skill fit?

A skill is reusable guidance for your assistant. Follow the skill or plugin steps in our ChatGPT setup guide where your workspace supports them. Connecting the research tools and installing guidance are separate steps. A skill alone does not activate your CoPilot seat.

Menu names and availability vary by workspace. OpenAI’s skills and plugins guide ↗

04

Choose a model for the task

The model is the engine answering your question. Our tested starting choice is GPT-6.1 Sol with High reasoning, where available in ChatGPT Work. This is our recommendation from shop trials.

Open the model or Power menu; use Advanced if it is shown. Regular Chat has a different model menu. If your menu differs, follow the model section in our connection guide.

More reasoning can take longer and use more of your allowance. It does not remove the need to check the answer. See OpenAI’s current model controls ↗

05

Ask like you would ask a colleague

Begin with one problem and the help you want. You can add details when the assistant asks.

A FIRST CONNECTION CHECK

Use Collision CoPilot to help me understand what documentation we need for a destructive weld test. Show the references I should check.

After sending it, check that the conversation shows CoPilot was used. Open the sources. If it says the connector is unavailable, return to the connection guide before relying on the response.

Make the next question about your work

The insurer reduced several lines on this repair. Can you help me work through the reasons and prepare a response?

In the approved shop workspace, provide the relevant documents and the reason for each reduction. Ask it what is missing before drafting. Keep unnecessary customer contact details out.

Then make the answer useful

  • “What facts are you missing?”
  • “Which source supports that statement?”
  • “Make this shorter and sound like our shop.”

Verify that the references apply to the vehicle, operation, and situation. Have the responsible employee review the draft before it leaves the shop. OpenAI’s advice on asking and refining questions ↗

NEXT / CLAUDE

Prefer Claude?

The same habits apply: use the shop’s workspace, connect Collision CoPilot under your own seat, add project instructions, and check the sources. Our Claude setup guide covers the connection and skill upload. Our tested starting model is Sonnet 5.5 / High where offered.

Follow the Claude setup guide

Claude’s project instructions guide ↗

ALSO / GEMINI

Using Gemini?

Gemini: personal Google accounts only. Google currently limits custom connectors to personal accounts, so do not upload customer documents there. Google also requires you to be 18 or older and in the US, with Keep Activity turned on. For shop work with customer documents, use ChatGPT Business or Claude Team.

Follow the Gemini setup guide

Want to practice with a person?

We offer optional setup and a one-hour Google Meet training session for your team. Bring a question from the shop and learn the workflow together.
